Oral Presentation Guidelines

Preparing your Presentation

  • Each presentation is 13 minutes in length (10 minutes of presentation, 3 minutes of Q&A)
  • Presenters will use their own device (laptop) to present
  • The 18th IZFC is a hybrid meeting, all presentations are recorded and available for in-person and virtual attendees
  • Prepare your presentation using widescreen, 16:9

Check in for your Session

  • Arrive to the session room at least 15 minutes prior to the start of the session.
  • All session rooms will be equipped with a podium with laptop and microphone, a slide advancer, LCD projector, electronic red pointer system, and two session chairs to help keep the session running on time.

During your presentation:

  • Session chairs will give a brief introduction for each presentation
  • Session Chairs will facilitate Q&A.

Tips for MAC users to ensure your PowerPoint will play on a PC:

  • Use universal fonts such as Arial, Times New Roman, Courier New, Verdana, Tahoma, Trebuchet MS, Calibri, etc. Do not use Mac specific fonts.
  • Be sure to embed your photos, videos, graphics, etc by using the insert option. Do not copy and paste.
  • Avoid using PICT graphics. GIF, PNG, and JPG work best. For illustrations, use WMF or EMF files.
  • Use universal video and sound formats. Windows can't play videos that Macs support natively. Convert your MOV files to AVI or MPEG formats to use them successfully under multiple operating systems. Likewise, use WAV or MP3 files for sound effects and audio, rather than Mac-native AIFF files.

Session Chair Instructions

The 18th IZFC is a hybrid meeting. All sessions will be live-streamed and available later on demand (approximately 2 weeks after the conference). All speakers are in-person.

Session Chair Responsibilities:

Each session is compiled of 6 presentations. The presentations are 13 minutes long (10 minutes of presentation, 3 minutes of Q&A).

As a session chair you are responsible for:

  1. Providing a brief introduction of each speaker (<30 seconds)
  2. Moderator Q&A (both virtual Q&A and in-person Q&A)
    1. Let attendees know how to ask questions
      1. Virtual attendees can ask questions via the Chat feature in the mobile app
      2. In-Person attendees can also ask questions via the Chat feature in the mobile app or orally
    2. To see the questions asked from Whova, open the session in the mobile app, turn off the volume on your device, and read the questions out loud to attendees
    3. Repeat all questions into the microphone. This helps ensure everyone in the audience could hear the question and all virtual attendees can hear the question

Poster Presentation Guidelines

General Guidelines:

  • The maximum poster size is 210cm tall x 90 cm wide
  • The graphic on the right depicts the layout and size of the poster board
    • Please note that the poster number will take up a 20cm square in the top left corner
    • Please note information located near the bottom of your poster will be near the ground. Do not put critical information at the bottom as it will be difficult to read. 
  • IZFS does not provide any recommendations or accommodations for printing, shipping or disposing of any posters.

Session Information:

  • Set-up after 9:30am on the day of your poster session
  • Take-down by 4:45pm on the day of your poster session
  • Posters Hung outside of the set-up and takedown time will be disposed of
  • Poster Sessions are grouped by abstract theme

    • Themes: Cell Biology, Circuits & Behavior, Infection & Immunity, Neurobiology, Other and Reproduction
  • Poster Session II
    • August 19, 2024, 1:00-2:45pm
    • Themes: Cardiovascular, Disease Models, Emerging Technologies, Evolution & Comparative Biology, and High Throughput Whole Organism Research
  • Poster Session III
    • August 20, 2024, 1:00-2:45pm
    • Themes: Early Development, Morphogenesis & Patterning, Organ Formation & Function, Physiology & Metabolism, Regeneration, Stem Cells, and Toxicology, Environmental Biology and Sustainability
